Responsible for the effective management of the workload, meetings, communications, and outreach of the Dean of the College of Arts and Sciences, which is the largest of Loyola University Chicago's 15 schools, colleges, and institutes. Specific duties include:

Maintain Dean's calendar and schedule.

Provide a welcoming environment for all visitors to the Dean's Office.
-
Ensure confidentiality, sensitivity, and discretion in all Dean-related tasks.

Maintain Dean's Office lists and listserves, including coordinating with department staff to ensure up-to-date faculty and staff lists.
-
Arrange meetings and appointments, anticipating conflicts and effectively negotiating competing interests.
-
Serve as key point of contact for communication with the Dean, including screening calls and visitors.

Respond promptly to inquiries from inside or outside the university, including delegating when appropriate to the appropriate College staff member and overall facilitating effective services and solutions.

Compose and disseminate information to department chairs, interdisciplinary program directors, faculty and staff.

Aid in the preparation of the Dean for meetings and events, and where appropriate summarize and prepare responses and track action items to ensure responsiveness and closure.

Support College procedures that require Dean's review and/or signature, such as Academic Program approvals, faculty and staff reviews, and donor thank you letters.

Provide support for the annual faculty and staff evaluation process, including scheduling the Dean's meetings with the department chairpersons, preparing materials for Dean's review, and submitting Dean's approval/comments.

Assist departments with scheduling faculty interviews with Dean and prepare candidate files for the Dean.

Communicate with departments to support the process for chairperson review, including assisting in the collection and compilation of data for the Dean.

Oversee Dean's Office meetings and events, such as the bimonthly Dean's Cabinet meeting, the monthly meeting of the Dean's College Leadership Council, the biannual meeting of the Dean's Advisory Council, and faculty and staff recognition luncheons and receptions.

Manage PNC procard transaction details and submission of receipts.

Coordinate with the Associate Deans and the Dean's Office Outreach Officers (Advancement, Alumni Relations, and University Marketing and Communication) in aligning events and agendas with the Dean's schedule.

Minimum Education and/or Work Experience Bachelor's degree and at least five years of related experience required. Experience in higher education strongly preferred., 5 years or more of progressively responsible professional experience; Undergraduate education; Experience in higher education, preferred. Certificates/Credentials/Licenses Undergraduate degree Computer Skills Computer proficiency of Microsoft Office software and applications; Outlook, Word, Excel, PowerPoint, One Drive, and Adobe Acrobat Pro.
