The CHAMP Cargosystems' General Administration & Purchasing Team fulfils a range of back-office functions to support the smooth operations of the company. The team's objective is to ensure that the global CHAMP community receives swift and adequate assistance and support in line with the business requirements and the company's processes. CHAMP has a centralized procurement function for all purchases of products and services. The Purchasing Department through which all purchases must be processed is empowered to request quotations, negotiate contracts & agreements, and place orders on behalf of the organization. The Procurement Officer fulfils the operational tasks to ensure that the Purchasing Department satisfies the company's procurement needs and requirements in line with the company's policies. The position holder maintains good relationships with existing suppliers, searches for new sources while stimulating competition amongst providers. He/she upholds good communication and cooperation with the department's internal customers and assists in developing and optimizing a supply chain system for CHAMP. The Procurement Officer will ensure all commercial and contractual aspects of the vendor relationship are in place to comply with internal and external requirements and that the vendors are monitored throughout the life cycle. As part of the General Administration team, the Procurement officer will further fulfil certain administrative tasks and act as back-up for other team members. The team also shares the daily admin functions of processing incoming and outgoing mail and shipments, transferring incoming calls and handling access badges., Purchasing:

Follow, maintain and refine the CHAMP's Purchasing Policy and monitor compliance across the group.

Work closely with the internal customers to understand and define requirements, evaluate proposals and decide on the most appropriate option. Ensure a clear communication flow throughout the procurement cycle with the customers.

Request quotations, negotiate contracts and place orders on behalf of CHAMP in line with the company's procurement processes and policies

Manage vendors on the commercial and contractual side and keep a good and professional relationship with the supplier network.

Ensure all contractual aspects in the vendor relationship are in place to comply with external and internal requirements for new and existing vendors i.e. legal, data protection, information security, etc.

Ensure vendors are monitored and any risks are evaluated and mitigated.

Ensure that invoices are received and verified, that they are in line with the placed orders and released in time to allow for the financial processing.

Ensure deliveries are checked and in line with the placed orders.

Keep stock of the company's stationary.

Assist other purchasing agents in their processes and provide training and monitoring if required. Shared functions: General administration: Perform administrative tasks for CHAMP Luxembourg:

Handle physical mail and deliveries incoming and outgoing as well as phone calls.

Manage access cards to the CHAMP LUX offices.

Welcome and assist visitors.

Assist the Head of Administration and your colleagues with other administrative tasks or projects.

Customer Contract processing Back-up functions:

Corporate Expense administration

Facilities: In the absence of the Head of Administration, take action on any urgent requirements or issues with regards to the facilities in Luxembourg.
Ihr Profil

Good interpersonal & communication skills, confident at liaising with internal and external partners .

Works effectively independently as well as within a team.

Experience developing, maintaining and enforcing internal processes and filing systems.

Must have a strong character of integrity and ability to keep highly confidential information.

Strong computer literacy and proficient in the use of Microsoft Office Suite.

Experience in SAP, Concur, DocuSign would be an asset.

Good/excellent knowledge of written and spoken English. Additional knowledge of French, German or Luxembourgish would be an asset. Education:

Minimum 5 years' experience in a similar role, preferably in the IT sector.

Degree holder or above with major in Business Administration, Procurement, Accounting, IT, Legal or related discipline preferred. The selected candidate may be subject to the provision of an up-to-date (not older than 3 months) criminal record certificate.
